How do I “detach” a traveler in GovTrip?

To Detach:

  1. From the Traveler Welcome page, Click on the TA Maintenance link.
  2. Click on the tools drop down, Select People and Click Go.
  3. Type in the traveler's organization, check Include Suborgs and the traveler's first and last name.
  4. Click Search.
  5. Find the Traveler, verify you have the correct traveler by looking at the last four of the Unique ID and Click Detach.

How do I “receive” a traveler in GovTrip?

To Receive a Traveler:

  1. From the Traveler Welcome page, Click on the TA Maintenance link.
  2. Click on the tools drop down, Select People and Click Go.
  3. Click on Receive Person.
  4. Type in the Traveler's Unique ID.
  5. Click on the Organization lookup and select the Traveler's new Organization and Click Search.
  6. The Receive Person page will display. Click the Receive Person button to complete receiving the Traveler’s profile.

How do I add an alternate email address to a profile in GovTrip?

  1. From the Traveler’s Home page, Click on TA Maintenance.
  2. Click on the tools drop down, Select people and Click Go.
  3. Type in the traveler's organization, check Include Suborgs and the traveler's first and last name.
  4. Click Search.
  5. Select the traveler, Click Update and Click Continue.
  6. Under General Traveler Data, enter as many alternate email addresses as needed in the Alternate Email Notification box. Each address must be separated by a comma.

How to help an Approving Official (AO) who does not see the Document Awaiting Approval Button.

There are two reasons the AO may not see the button: 1) they does not have the necessary permissions, or 2) they may not have a document in their review queue, or are not in the routing list.

1) To verify the AO has 0,1 and 2 permission.

  1. From the Traveler Welcome page, Click on the TA Maintenance link.
  2. From the Tools drop down, Click on People.
  3. Click on the tools drop down, Select People and Click Go.
  4. Type in the traveler's organization, check Include Suborgs and the traveler's first and last name.
  5. Click Search.
  6. Select the Traveler and Click Update and Click Continue.
  7. Under User Specific Data, verify the AO has 0, 1 and 2 permission level.
  8. Change if necessary and Click Save Changes.

2) There is not a document waiting for them to review/ they are not in the routing list.

  1. From the Traveler Welcome page, Click on the TA Maintenance link.
  2. From the Tools drop down, Click on People.
  3. Click on the tools drop down, Select People and Click Go.
  4. Type in the traveler's organization, check Include Suborgs and the traveler's first and last name who you believe should have a document waiting to be stamped/approved.
  5. Click Search.
  6. Select the Traveler and Click Update and Click Continue.
  7. Under General Traveler Data, you will find the travelers routing list.
  8. Go back to Tools, Click on Routing List and Go.
  9. Enter the Routing List Name, Click on lookup and select the Traveler's Organizations.
  10. Click Update next to the routing list and verify the AO is part of the Routing List.
  11. Add the AO if necessary.

How to help when an Approving Official, travel preparer, or another FATA cannot see another traveler’s documents.

To see another traveler's documents, a user must have the correct group access. To verify they have the correct group access:

  1. Open their traveler profile (People table) and view their group access.
  2. Search for the traveler for whom they want to see documents and when the search results screen comes up, Click on the View Groups button next to their name.
  3. If their Group Access is not listed, you must add the traveler to a group that rolls up to their group access.

How do I request a report in the GovTrip Report Scheduler?

Reports in the scheduler are controlled by permission level, so you will only see reports that fit in to your permission level.

To request a report:

  1. Log in to GovTrip.
  2. Under reports, select Report Scheduler.
  3. Click Request New Report.
  4. Select the report you need run.
  5. Fill in the report criteria and submit the report.

Reports run in the scheduler will be completed after 8pm and available for download the following morning. Most reports can only be run for a maximum of 92 days. You will need to run multiple reports if you require more than 92 days of data.
